1. Acceptance of Terms

These Terms and Conditions govern access to and use of the Manage My Cylinders website, web app, and related services. By creating an account, accessing the app, using the website, starting a trial, or continuing to use the service, you agree to these Terms.

If you use Manage My Cylinders on behalf of a business or organization, you confirm that you are authorized to accept these Terms for that organization. In these Terms, "you" and "your" refer to both the individual user and the organization using the service.

2. About the Service

Manage My Cylinders is a web-based business management system for cylinder suppliers, gas agencies, refill-based operations, and related teams. The service may include features for cylinder inventory, customer records, plant records, sales invoices, quotations, delivery challans, empty collection receipts, full collection receipts, plant refill movements, transaction history, CSV exports, dashboard summaries, business settings, bill templates, document numbering, users, and permissions.

Some features described on the website may be planned, upcoming, experimental, or subject to change. Planned features such as advanced reports, statement downloads, deposits, rentals, and enhanced cylinder tracking may not be available until released.

3. Accounts and User Responsibilities

To use the app, you may need to register an organization, create an administrator account, invite team members, and configure permissions. You are responsible for keeping account credentials secure and for all activity that occurs under your organization or user account.

  • You must provide accurate account and business information.
  • You must keep passwords confidential and notify us if you suspect unauthorized access.
  • Administrators are responsible for creating users, assigning permissions, resetting passwords, and removing users who should no longer have access.
  • You must not share accounts in a way that bypasses security, billing, or permission controls.

4. Business Data and Customer Data

You retain ownership of the business data, cylinder records, customer records, plant records, invoices, quotations, refill records, receipts, documents, uploaded assets, and transaction history that you enter into Manage My Cylinders.

You are responsible for the accuracy, legality, and quality of the data you enter. This includes ensuring you have the right to store customer, plant, employee, billing, delivery, tax, and transaction information in the app.

By using the service, you grant us the limited right to host, process, transmit, display, back up, and otherwise use your data only as needed to provide, secure, maintain, support, and improve the service.

5. Cylinder Movement and Operational Accuracy

The app is designed to help track cylinder lifecycle movements such as delivery to customer, empty return, sending empty cylinders to plant, and receiving full cylinders back into stock. You are responsible for checking entries before saving, verifying dates, confirming cylinder selections, and ensuring printed documents match the actual business transaction.

The service can help reduce manual tracking errors, but it does not replace your responsibility to review records, reconcile stock, confirm customer balances, verify plant movements, and comply with business, tax, safety, and regulatory obligations.

6. Invoices, Quotations, GST, Taxes, and Documents

Manage My Cylinders may generate or display sales invoices, quotations, delivery challans, empty collection receipts, full collection receipts, payment fields, GST values, discounts, balances, and other business document information based on data entered by users.

You are responsible for reviewing all documents before printing, sharing, submitting, or relying on them. You are also responsible for tax rates, GST treatment, invoice numbering, legal invoice requirements, customer billing details, payment records, and compliance with applicable accounting and tax laws.

7. Subscriptions, Trials, Payments, and Pricing

The service may offer a free trial, paid subscriptions, or other plans. Plan details, trial duration, included features, pricing, billing cycle, and payment terms may be shown on the website, in the app, or in a separate written agreement.

If paid billing is enabled, you agree to pay all applicable fees, taxes, and charges for the plan you select. Unless stated otherwise, fees are non-refundable except where required by law or expressly agreed in writing.

We may update pricing, plans, trial rules, or available features from time to time. If a pricing change applies to an active paid plan, we will provide notice as required by applicable law or the relevant agreement.

8. Acceptable Use

You agree not to misuse the website or app. You must not:

  • Use the service for unlawful, fraudulent, harmful, or abusive purposes.
  • Attempt to access another organization's data or user account without permission.
  • Interfere with app security, authentication, hosting, infrastructure, or availability.

  • Use automated scraping, excessive requests, or unauthorized integrations that may harm performance.

We aim to keep Manage My Cylinders reliable and available, but we do not guarantee uninterrupted or error-free service. The app may be unavailable due to maintenance, updates, infrastructure issues, security events, internet problems, third-party service failures, or circumstances beyond our control.

We may add, change, suspend, or remove features to improve the service, respond to user needs, maintain security, or comply with legal requirements.

10. Data Export, Backup, and Retention

The app may provide CSV export, browser printing, and printable document views. You are responsible for keeping copies of records that your business is required to retain. While we may maintain backups for service reliability, the service should not be treated as the only record archive for legal, tax, accounting, or compliance purposes.

If your account is closed, cancelled, or terminated, access to data may be limited or removed after a reasonable retention period, subject to backups, legal obligations, billing records, dispute resolution, and legitimate business needs.

11. Intellectual Property

Manage My Cylinders, including the website, app design, software, workflows, interface, branding, text, graphics, and related materials, is owned by us or our licensors and is protected by applicable intellectual property laws.

These Terms do not transfer ownership of the service to you. You receive a limited, non-exclusive, non-transferable right to use the service for your internal business operations, subject to these Terms and any plan limits.

12. Confidentiality

Each party may receive confidential information from the other. You agree not to disclose non-public service information, pricing arrangements, security details, or other confidential information except as allowed by these Terms or required by law. We will handle your business data according to our Privacy Policy and reasonable confidentiality practices.

13. Third-Party Services

The service may rely on or link to third-party services such as hosting, email, analytics, payment providers, browser printing, or external websites. We are not responsible for third-party services, their availability, or their terms and privacy practices.

14. Disclaimers

Manage My Cylinders is provided on an "as is" and "as available" basis to the maximum extent permitted by law. We do not guarantee that the service will be uninterrupted, error-free, fully secure, or suitable for every business requirement.

The service is a business management tool. It is not legal, tax, accounting, safety, regulatory, or professional advice. You should consult qualified professionals for advice specific to your business, tax filings, safety obligations, gas/cylinder regulations, and legal compliance.

15. Limitation of Liability

To the maximum extent permitted by law, Manage My Cylinders and its owners, team members, partners, or service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of profits, revenue, data, goodwill, business opportunity, or operational records.

To the maximum extent permitted by law, our total liability for claims related to the service will be limited to the amount you paid for the service during the three months before the event giving rise to the claim, or the minimum amount permitted by applicable law if no fees were paid.

16. Indemnity

You agree to defend, indemnify, and hold harmless Manage My Cylinders from claims, losses, liabilities, damages, costs, and expenses arising from your use of the service, your business data, your violation of these Terms, your violation of law, or your infringement of another person's rights.

17. Suspension and Termination

We may suspend or terminate access to the service if you violate these Terms, fail to pay applicable fees, create security risk, misuse the service, or use the service in a way that may harm us, other users, or third parties.
